How to Provide Documents

When you apply for housing, you’ll need to provide documents to support your application.

To avoid delays, please have your documents ready to upload at the end of the online application form using the document upload page. If you forget to upload something, you can email it to bas@bexley.gov.uk.

If you don’t provide the required documents when you apply or within 12 weeks, we won’t be able to assess your application.

If you can’t upload documents online, you can post copies (not originals) to:

Make sure all documents clearly show your full name, address, and login reference number so we can match them to your application.

 

What Documents to Provide

The documents you need depend on your circumstances. Below is a guide to what you may need to provide:

Required for All Applications

  1. Proof of eligibility for all household members (any of the following):

    • Passport
    • Birth certificate
    • Immigration status (e.g. share code or biometric residence card)
  2. Proof of address (2 documents dated within the last 3 months)
    AND
    Proof of 5-year residency for main and joint applicants (examples include):

    • Tenancy agreement
    • Council Tax bill
    • Utility bill
    • Bank statement
    • Universal Credit statement
  3. Name change documents (if your name differs from your ID):

    • Deed poll
    • Marriage certificate
    • Divorce certificate

 

Additional Documents (Depending on Your Circumstances)

If You Have Dependent Children

  • Full Child Benefit letter showing all named children

If You’re Applying on Medical Grounds

(Please do not send appointment letters. Provide any of the following if relevant):

  • Diagnosis letters or reports (e.g. for neurological conditions, ASD, ADHD, Global Development Delay)
  • Full EHCP (Education, Health and Care Plan)
  • Consultant or specialist letters
  • Care or treatment plans
  • DLA or PIP award letter
  • Carer’s Allowance award letter
  • Proof of care package (including 24-hour care)
  • Occupational therapist’s report
  • Care Act assessments
  • Letters from social workers, Family Wellbeing Officers, or health visitors

If Someone in Your Household Has Served in the Armed Forces

  • Military record of service
  • Armed Forces discharge letter

If You’re Applying as Homeless

  • Duty acceptance letter (Prevention, Relief, or Main Duty) from a local authority
  • Evidence of no fixed abode
  • Rough Sleeping Chain number

If You’re Living in Unsanitary Conditions

  • Environmental Health documents (e.g. property closure or prohibition orders)

If You’re a Care Leaver

  • Independent Housing Preparation Form (IHPF)
  • Leaving care letter confirming borough and care status

If You’re Applying Due to Hardship

  • Tenancy agreement (if you’re a council or housing association tenant living outside Bexley)
  • Proof of current employment
  • Proof of job offer (must not be voluntary, short-term, or linked to work in another area)

If You’re Applying Due to Exceptional Circumstances

  • Evidence of home damage (e.g. fire, flood, disaster)
  • Evidence of threats to life (e.g. police reports, court orders, witness protection)
  • Guardianship or similar orders supported by social services

This list is not exhaustive. If you have other documents that support your case, please include them.

 

Data Sharing

You will need to make a declaration on the housing application form to confirm that you understand that the information you have provided in the form is held by the London Borough of Bexley and will be shared with its Housing Association Partners in the borough. Any information disclosed will be limited to relevant information which is to be used solely to assist your housing application and this information will be held in the strictest confidence and your data will be kept securely and will be destroyed when no longer needed. Medical details you give may be passed to other health professionals whose opinion is needed to assist your housing application.
